9/9/09 Board Meeting Notes

 

Attending:  Angela Laubach, Gary Kidd, Arpad Vass, Ann Martin, Sam Pelchar

 

 

Fall maintenance

Power wash the pavilion deck.  Apply concrete stain in bathrooms, pavilion

Estimate to install screens on pavilion gutters

Ditch dug and stones installed on West side of pavilion to stop         accumulation of rain water

Roof leak in main building must be fixed -- scheduled

See attached addendum for more details

 

No Yearr 2010 Major repairs or equipment replacements  should not be needed.  Few maintenance tasks needed

 

Security System still under discussion.  May purchase new system in 2010

 

Financials through August 31, 2009 distributed and reviewed

 

Pool closing

Diane Alexander sent email to Board that she would have WaterWorks close the pool with the required maintenance tasks.  Also, will leave pumps running until first frost to stop algae growth.  Sam Pelchar will talk to Diane Alexander to create list of final closing tasks, including backwashing and plumbing tasks (see addendum)

 

New “no food in pool area” signs ordered and installed on 2 fence areas -- fence gate leading from pavilion to pool deck, and exterior fence area facing public park

 

Chairs/furniture -- guards will move under main building roof on last day of pool.  Need to begin a replacement plan and budget for new furniture as it breaks

 

Phone -- Gary Kidd will schedule phone turn-off after end of season

 

Guards responsibilities:  will be reviewed and changes made per issues raised this year. New job descriptions will be created

 

 

 

Gate on pavilion side leading to bathrooms will be moved to pool side of passageway entrance. This will allow pavilion party goers to use bathrooms while pool is closed.  Sam Pelchar will make calls to get this work done

 

Payroll and Accounting work being done via Quickbooks by Sam Pelchar now; will be transitioned to Treasurer, Gary Kidd

 

 

Learn to Swim still owes rental for this summer.  Diane Alexander will call and obtain check.

 

End of Year Party, Sunday, 9/20 -- Sam Pelchar will get beer, ice, coolers and bring box of white zinfandel wine.  Ann Martin will get food from Sam’s Club (burgers, chicken,salads, chips, brownies, and birthday cake).  Angela Laubach will purchase water, pop and margarita mix.  Sam Pelchar will place sign on lawn.  Ann Martin will purchase new tablecloths (8 long, 2 round).  Reemphasize that this is not a football weekend.

Based on the meeting last night, the following actions are required:

 

 

 

POOL CLOSING:

 

 

 

1. Swimming pool shut down by Waterworks - Diane to coordinate

 

Until we get the first frost, Diane Alexander will back flush and add chemicals.

 

                  

 

2. Plumbing shutdown by plumber - Diane Alexander will coordinate after the last scheduled party at the pavilion. 

 

 

 

3. Telephone shut off at end of September - Gary Kidd to coordinate with AT&T

 

 

 

4. Store pool furniture (including basketball) - Diane Alexander to coordinate (be careful with the furniture that has black metal trim - black water will stain chair covers).

 

 

5. Learn to swim check - Diane Alexander will obtain and give to Gary Kidd

 

 

MAINTENANCE:

 

 

 

6. Gutter screens, Guard room wallboard replacement, pool deck concrete repair - Sam Pelchar to get quote from handyman.

 

 

 

7. Stain pavilion floor, bathroom floors, guard room floors (plus edging near Pavilion)- Sam Plechar to coordinate

 

 

 

 

8. Scissor fence closure to pool - Sam Pelchar to call fence company for quote.

 

 

9. Security motion detector for pool - Sam Pelchar to obtain info and supply to Board for vote.

 

 

 

10. Split tree next to Pavilion - Sam Pelchar to check with tree company re: the possibility of installing a cable versus cutting.

 

 

 

OTHER:

 

 

 

11. LAWN CARE BIDS - time to go out for bids on lawn care - Angela Laubach to coordinate before February 2010.

 

 

 

12. POOL OPERATIONS BOOKS & INFO - Diane Alexander to provide the following information/documentation to Board:

 

        a. Equip warranties and instructions

 

        b. Guard hiring and paying process

 

        c. Guard position duties and reprimand procedures

 

        d. Pavilion Party reservation procedures

 

        e. List of people who have keys

 

        f.  List of furniture/umbrella needs

 

        g. List of equipment needs.

 

        h. Any other suggestions.
