1/11/12 Briarcliff Board Meeting Notes

Attending: Greg Snodgrass, Gary Kidd, Bill Thomas, Angela Laubach, Ann Martin, James Rome, Renee Hicks

Annual Meeting will be held February 12^th, from 2 – 4 PM. At Jim Rome's 116 Claymore. Proxy forms will be sent out prior to meeting date and proxy instructions will be included in meeting invitation email.

Invoice and Newsletter will be sent out at least 2-4 weeks prior to Annual Meeting Date. Need to create both soon.

New robot cleaner has been purchased (with warranty money) to replace broken one.

Invoice: Payment and mailing due dates below:

• Invoices will be sent no later thanMarch 1, 2012
• Pool O&M fees are dueMarch 31
• $75 late fee accrues if payment not received before May 1. $500 due ($425 + $75 late fee)
• Additional $100 late fee accrues if O&M fee is paid after June 1. $600 due ($425 + $175 late fee)
• If 2012 O&M fees and accrued late fees are still unpaid on April 1, 2013, the share will be repossessed by the BCC.

Gary Kidd to obtain Invoice form from former BCC President Sam Pelchar. Gary will revise and use Quickbooks form as 2012 invoice.

May 5, 2012: Cleanup Day

May 19, 2012: Opening Day for pool, and Adults Only Opening Party

3 people are ending their Board term: Ann Martin, Angela Laubach and Gary Kidd, but Gary will run for a second term. 3 positions up for election but one will run for a second term.

Survey 2012 – will ask shareowners what important issues/questions include, if any. Will ask shareowners for their thoughts about the photo IDs and gate-crasher issues.

Ann to send out email asking for survey questions and more significant member issues and concerns. Based on shareowner input, we will decide if we will send out a new survey. Email will also ask for members interested in renting or selling their share to contact Jim Rome (jamesrome@gmail.com), who will post their contact info on BCC web site.
