5/18/2011 Briarcliff Community Club Board Meeting Notes

 

In attendance: Greg Snodgrass, Bill Thomas, Angela Laubach, Jim Rome, Ann Martin, Gary Kidd (via teleconference)

Operations and Maintenance Fees - Update

¥  4 shareowners have not yet paid at all.   One shareowner may forfeit their share per conversations with Gary Kidd.  4 people have paid on-time O&M fees, but still owe late fees that have not been paid. Gary will ask Sam to send out a new invoice including all the additional late fees.  Gary will also ask Sam to make some changes to invoice form to include additional shareowner/renter information.

¥  Board passed motion that until all O&M and any associated late fees are paid in full, shareowner does not have any pool privileges nor may they reserve the pool/pavilion for parties.  Bill motioned, Gary seconded.  This simply clarifies current rules.

 

Did sell BCC-owned share #64 to Steede.

 

Swim Lessons - certified guard is taking her last certification class tonight. Discussed how to offer lessons. We will have any parent of any swim student sign a waiver of liability.   Will have interested parents call Haley Hunt directly. She will organize through Greg Snodgrass.  Will limit interest to members only first as a trial basis. Lessons will be held before the pool opens.  Greg Snodgrass will discuss specific lesson offering details and logistics with Haley and report back to Board.  Haley and any other instructor will set their own fees and recruit their own students.  Email will be sent to announce this offering.

 

Pool furniture --  Not as bad as originally thought - some chairs rusted but most are fine.  Will buy some additional umbrellas and build dollies for these so they can be moved.  Greg Snodgrass will research costs. We have a furniture budget of $1000 for additional replacement chairs and umbrellas. 

 

BBQ Grill -- one pipe and/or burner needs to be replaced. Greg Snodgrass will take care of this repair.  Need to check to be sure that natural gas orifice fitting is correct.  Ann Martin will check with her husband (who purchased the grill) to see if fittings need to be replaced.

 

Opening Party -- will be Saturday, May 28 - Memorial Day Weekend. Ann will research catering companies.  Will look at several restaurants and Ann will present suggestions and pricing scenarios to Board.

 

Open House -- will have again this year for non-BCC member. Bill will ask Sam for the sign we used last year.  Will have this same day (5/28) as Opening Party.   Open House will be from 1 PM - 3 PM.  Need pop, chips, bottled water and cookies.  Angela Laubach will purchase food/drinks.

 

Red Cross representative contacted Bill Thomas offering their babysitting classes and asked that we forward their class information to our members, fyi.  We agreed to post their class dates on our web site, in email to members and on the pool bulletin board.

 

Website Updates -- some information needs to be updated. All should review and make suggestions for changes. 

 

Ann Martin to send Jim Rome PDF version of Party Reservation Form for posting on web site.  Also, Rules changes need to be updated.  Ann to send new version of last meeting notes to Jim Rome for posting re: guard number requirements clarification for private parties.

 

New water fountain is installed without cooler unit.

 

July 4th Party -- Ann will research renting inflatables and other machines.  Will create and post a signup sheet for volunteer party help on that day.

 

Next Board Meeting:  Thursday, June 9th at 6:30 at the pavilion.  Pavilion has been reserved.
