BHS Band Boosters
“Band Boosters” is the name for our parent support group for the band. There are no membership fees to be part of the BHS Booster organization. All parents are members. The Band Boosters engage in fund raising activities. All students and parents are expected to participate in these efforts. The funds raised are carefully allocated. Expenditures include uniforms, instructors, musical instruments, etc.

Article I - Name
The name of this non-profit organization shall be the Bearden High School Band Boosters.

Article II - Objectives
The particular objectives for which this association is formed are:
- To create a closer working relationship between students, parents, school, community and the band directors.
- To raise funds in order to provide financial support of the band.
- To be an advocate in all matters and things pertinent to the band, and to remain within the jurisdiction of the school system and the band directors.

Article III - Membership
Membership in this association shall consist of the parents of Bearden High School band members, interested school patrons, band directors, and school principals. Only parents/guardians of band members are eligible to hold office and vote at meetings.

Article IV - Officers
The officers of the association shall be President, President Elect, Vice President, Second Vice President, President Emeritus, Secretary, Treasurer, and Assistant Treasurer.
- The President shall preside at all the meetings of the association. He or she shall chair the Band Board and Executive Board. He or she shall be a member ex-officio of all committees. The President is the Chairman of the Budget committee, which will consist of the President, the treasurer, and the band directors.
- The President Elect shall perform duties of the President in his or her absence and act in an advisory capacity at all times. The President Elect shall assume the office of President in the year following his or her term as President Elect. In case of inability to serve or resignation of the President, the President Elect shall fill the unexpired term.
- The Vice President shall act in an advisory capacity to assist the President and the President Elect. The Vice President is also responsible for keeping parents and the community informed of all band and booster association activities.
- The Second Vice President shall act in an advisory capacity to assist the President and President Elect. The Second Vice President is responsible for acting as freshman liaison in order to orient freshmen students and their parents to the band and band boosters.
- As the past President, the President Emeritus shall act as a consultant to the Executive Board. The President Emeritus shall not be required to have a band member.
- The Secretary shall keep the minutes of all Executive Board and association meetings and make these available to the membership. The minutes will be maintained in accordance with regulatory requirements.
- The Treasurer shall be responsible for:
- Receiving all money collected, issuing of receipts, and depositing funds in the established bank account. All monies collected shall be deposited in the name of Bearden High School Band Boosters.
- Disbursing funds at the recommendation of the band directors, board members or committee chairs as budgeted and approved by the executive board. Funds shall be disbursed according to the Bearden High School Band Booster Funds Disbursement / Reimbursement Policy.
- Maintaining the required financial records to comply with state and federal laws and to meet the needs of the organization.
- Providing general financial reports to the band directors, board members and general membership as requested. The scope and detail of financial reports shall be determined by the executive board.
- Providing statements of account standing to all members (parents/guardians) on a regular basis. The minimum frequency of statements shall be annually
- As a member of the budget committee, support the preparation of an annual budget based on recommendations of the band directors, board members and committee chairs. The draft annual budget shall be presented to and approved by the Band Board prior to the end of the fiscal year. The budget will be presented to the general membership for final approval.
- Completing and submitting all state and federal forms, reports and tax returns required as a nonprofit corporation of the State of Tennessee and United States.
- Maintaining a list of individuals authorized by the executive board to disburse money on behalf of the organization and validate their bonding.
- Submitting financial reports, support documentation and assistance as requested by the president for audit after each fiscal year ending on June 30th.
- The Assistant Treasurer shall assist the Treasurer in performing his or her duties and perform those duties in his or her absence. The Assistant Treasurer position will be filled when deemed necessary by the Treasurer.
- The Bearden Band Board shall consist of all elected officers, committee chairman, and directors. The Executive Board shall consist of all elected officers.

Article V - Committees
Standing committees shall be those deemed necessary for the preservation and well-being of the association. They may include Publicity, Uniform, Hospitality, Chaperone, Equipment, Fund Raising, and others deemed necessary by the association President and Band Directors.

Article VI - Nominations and Elections
Officers of the association shall be elected at the regular Spring meeting and shall assume their duties at the beginning of July 1st.
At the March Executive Board meeting, a nominating committee of not less than three (3) members, including the directors, shall be named to present a slate of officers at the April Executive Board meeting. Officers shall be elected at the Spring general meeting. Nominations may also be made from the floor.
The term of office shall be one year or until a successor is elected. The officers must have a student in the band during his or her term in office. In the event that an officer’s child terminates his or her membership in the band, that officer will no longer be able to serve, and the President shall appoint a replacement for the remainder of the term.

Article VII - Meetings
Regular meetings of the general membership shall be held in the Fall and the Spring. The Band Board shall meet at least quarterly. A quorum shall consist of members in attendance at a meeting. The officers of the association shall meet if necessary by the request of the President.

Article VIII - Amendments
The By-laws may be amended by a two-thirds vote of the members present at the general meeting; provided a copy of the proposed amendments shall be available to every member thirty (30) days prior to adoption of the proposed amendments.

Article IX - Government
“ROBERT’S RULE OF ORDER, REVISED” shall govern this association in all cases to which they are applicable in so far as they are not inconsistent with these By-laws.

Committees
As a member of the Bearden High School Band Boosters, we are eager to include you in our many activities planned for this school year. The band program cannot function without cooperation among the parents, students, and staff working together toward a successful program. You and your student's enjoyment of the band experience will be enhanced by your involvement in the Booster organization. We want each and every one of you to be a part of the band experience and you can do that by volunteering an hour or two of your time. We encourage you to select as many committees as your time and interest allows.
For each committee, there is a brief description of the committee activities and the need for parent volunteers. At the parent meetings during band camp, you have an opportunity to sign up for any committe you may be interested in supporting. Please note that the sign-up tables are color coded and this is indicated with each committee description. Our committe chairpersons are in place and are looking forward to working with you!

Information on the function of each of the BHS Band Booster committees, including phone numbers and e-mail addresses for the committee chairs, is provided below.
This committee is responsible for equipment and set-up for the annual car wash, primarily on the Friday evening before and the Saturday of the car wash.
The student band members will wash the cars! Parent volunteers will help the committee work on the mechanics of setting up the carwash lanes, supervise the washing of the cars, supervise traffic flow, and clean-up. Detailed information about the car wash can be found on the BHS Booster's Fundraising page.

Skill with tools and a strong back will be helpful here. We need several strong men who can attend performances to help carry the heavy equipment and put it into place. This includes loading and unloading the equipment truck. Workers will need to arrive a little earlier and stay a little later and will be needed during the second quarter, half-time, and third quarter of football games. Includes home and away games, competitions, parades, and other performances.

Adults are needed to supervise students on trips, home and away football games, and special appearances such as contests and parades.
Chaperone Selection
This is a very rewarding experience but there is limited space on the buses and in the stands.
- Home Games - Approximately 10 chaperones needed per game
- Away Games - Approximately 2-3 chaperones needed per bus (about 18 total)
- Note: Some activities require chaperones to be available during the day or for an early departure time. Please note the approximate times on the sign-up sheets.
Sign-up sheets for home and away events will be provided at the parent meetings in July. Please bring your calendars so you know when you can commit! In order to allow all parents a chance to chaperone, please limit sign-ups to two activities. An alternate list will be provided for parents to sign up and list other dates they may be available.
If you are willing to volunteer but are unable to commit to specific dates, you have a student with a medical issue, or all events you are available for are full, please contact Karen Jones or Bob Wilson.
If you have signed up for a game or event, one of the chaperone committee members will call to remind you several days before the event. If your plans change and you know in advance that you cannot serve for an event for which you have signed up, please contact Karen Jones or Bob Wilson as soon as possible so we can find a replacement.
Due to the complexity of coordinating 200 students on away events, minor last minute schedule changes may occur. Occasionally, we may also return later than expected due to traffic and other factors. Flexibility is required.
Chaperone Duties
- Assist with set up of seat cushions in bleachers, dispense water, etc.
- Assist with collection of seat cushions (unless responsible for bus roster – then return to the bus ahead of the students).
- If responsible for the bus roster:
- Leaving school – Check the student’s name off the roster after the bus is loaded and the door is closed. Remind the students of the number of the bus they are riding. They must return on the same bus.
- Returning to school – Check the student’s names off the roster as they load the bus.
- If we stop for any reason, check the student’s name again as they load the bus.
- Chaperones may also be asked to assist the uniform and hospitality teams when not in transit.
- Monitor student behavior – use your best judgment but try to find a middle ground. Remember we have a wide range of ages and family values.
Student Behavior Guidelines
NOT ALLOWED
- Undressing.
- Foul language.
- Inappropriate topics.
- Inappropriate physical contact.
- Unsafe bus behavior: walking in aisles, standing up, sitting backwards in seat, excessive noise.
- CD players, etc., without headphones.

ALLOWED
- Unbutton shirt if they have another one underneath while on the bus.
- Students must be in full uniform anytime they are off the bus, unless they are told otherwise.

- Provide students with very minor first-aid or administer common and approved medications ONLY when a SIGNED permission form is in the red book.
- Students not returning on the bus for any reason MUST bring a permission slip signed by a parent. It must have a phone number where the parent can be reached if verification is needed. The note should specify the name and date of the event from which the child is leaving and with whom the child will be leaving. This must be given to a chaperone on that student's bus, preferably when the child originally boards the bus to leave from BHS.

This committee is very busy during the entire school year. The responsibilities begin during band camp where we help students stay hydrated during extremely hot days. This job of serving refreshments continues through all the football games, competitions, and possibly during after-school rehearsals during marching season. This group also plays a huge part in the band car wash where we feed all the students and parent volunteers. Lastly, we provide food and refreshments at band parties and some away games. If you have an hour to spare during band camp, a few hours at the car wash, or even 30 minutes at a ballgame, we really need you!

A vital part of the band involves keeping students looking great! The Uniform Committee does just that. Our success depends upon a large number of volunteers, helping in ways such as monitoring uniform distribution on Fridays and washing shirts after the games. The amount of time you volunteer is optional and will be rewarded with lots of fun while getting to know the students better. No prior experience needed!

Several parents are needed who can assist in collecting monies turned in from the car wash. We will be collecting monies for one week, at the end of the school day and possibly one to two alternate collection dates depending on the consistency of collections during the collection period.
Fundraising is a very important activity for the band. We are always interested in ideas for fundraising and volunteers to participate in fundraising activities.
For a limited time, we will have hats, shirts, and jackets featuring our custom designed “Bearden Band” logo. We encourage you to reflect your pride and support in the Bearden Band program by purchasing and wearing this apparel to all the games and competitions. Information about BHS Band apparel will be distributed during the Band Camp parent meetings and will be posted on the home page.

It Takes More Than One Person to Make a Band!
It takes a group of dedicated students ands even more dedicated parents to make a band program great!
The Bearden High School Band Boosters is an organization dedicated to the support and advancement of the Bearden Band program. With increasing numbers comes the obligation for new uniforms, music, and more instruments. These items are not funded by the Knox County School System.
As the parent/guardian of a Bearden band student, you have the unique opportunity of promoting a band program of which we can all be proud. We need every parent to become involved in the Bearden Band Boosters. Each parent/guardian of a band student is already a member. No membership fee is required. All that we ask is that you share with us your ideas and a little of your time and energy. Everyone has something to contribute and we need each and every one of you!
