BHS Band Boosters


“Band Boosters” is the name for our parent support group for the band. There are no membership fees to be part of the BHS Booster organization. All parents are members. The Band Boosters engage in fund raising activities. All students and parents are expected to participate in these efforts. The funds raised are carefully allocated. Expenditures include uniforms, instructors, musical instruments, etc.

As a member of the Bearden High School Band Boosters, we are eager to include you in our many activities planned for this school year. The band program cannot function without cooperation among the parents, students, and staff working together toward a successful program. You and your student's enjoyment of the band experience will be enhanced by your involvement in the Booster organization. We want each and every one of you to be a part of the band experience and you can do that by volunteering an hour or two of your time. We encourage you to select as many committees as your time and interest allows.

For each committee, there is a brief description of the committee activities and the need for parent volunteers. At the parent meetings during band camp, you have an opportunity to sign up for any committee you may be interested in supporting. Our committee chairpersons are in place and are looking forward to working with you!

Information on the function of each of the BHS Band Booster committees, including phone numbers and e-mail addresses for the committee chairs, is provided below.



Car Wash

This committee is responsible for equipment and set-up for the annual car wash, primarily on the Friday evening before and the Saturday of the car wash.

The student band members will wash the cars! Parent volunteers will help the committee work on the mechanics of setting up the carwash lanes, supervise the washing of the cars, supervise traffic flow, and clean-up. Equipment

Skill with tools and a strong back will be helpful here. We need several strong men who can attend performances to help carry the heavy equipment and put it into place. This includes loading and unloading the equipment truck. Workers will need to arrive a little earlier and stay a little later and will be needed during the second quarter, half-time, and third quarter of football games. Includes home and away games, competitions, parades, and other performances.

Chaperones

CHAPERONE OPPORTUNITIES

Being a chaperone is a very rewarding experience and is something that every parent can help with. Chaperones are always needed and appreciated. There are numerous opportunities you can serve on to be a part of our chaperone team. Look at these opportunities as a way for you to be a part of your child’s experiences and as a way for you to make life-long friendships and connections.

Sign-up sheets will be provided at the parent meetings. Bring your calendars so you can commit. You may also indicate your willingness to volunteer on the sign-up sheet contained in your parent packet, and someone will contact you.



CHAPERONE DUTIES

The overall role of a chaperone is to assist band directors during band events. Our primary goal is student safety. Chaperones are asked to:

  1. Check their e-mails and/or the band website to find out the time they are needed to arrive before each event,
  2. Assist with the set-up and collection of seat cushions and help dispense water to the band members in the bleachers,
  3. Carry the first aid kits to and from the stands and dispense minor first aid when necessary (after checking the appropriate medical forms),
  4. Be responsible for checking off students on the bus rosters before the buses leave the parking lots upon leaving the school and every time students return to the buses,
  5. Collecting parent notes regarding special transportation instructions,
  6. Check the buses for equipment, personal items, etc., after every band member has left each bus and place lost items on the table in the band room,
  7. Monitor student behavior and report any major issues to the head chaperones who will report directly to the band directors so that they may handle any necessary discipline,
  8. Return all name tags, rosters, and permission forms to the head chaperones at the end of each event,
  9. Help supervise and monitor activities such as hanging uniforms, helping the hospitality team, or the equipment crew, if needed.

It is not the job of the chaperones to administer discipline. They may remind the students of the appropriate behavior guidelines, then advise the head chaperones who will report to the band directors. The directors and/or the school administration will administer the appropriate discipline for the situation.

All of the volunteers are present for the benefit of the students and the Bearden High Band Program. Working together with the directors and the various committee chairs, we can actively participate to make the Bearden Band a rewarding family experience.

NOTE: Chaperones will be contacted by e-mail several days prior to events to be given details and/or itineraries. They are responsible for replying to those e-mails or notifying head chaperones if their plans have changed and they are unavailable to work an event for which they have volunteered. Advance notice is appreciated if possible. Head chaperones are available to answer questions by phone or e-mail.

STUDENT SAFETY AND BEHAVIOR GUIDELINES

  1. Non-band members may not sit with the band in the stands.
  2. Students must remain seated on the buses and may not sit backwards in the bus seats or lean over the backs of the seats.
  3. Excessive noise is not permitted on the bus.
  4. Undressing is not allowed.
  5. Foul language is prohibited.
  6. Inappropriate physical contact is not allowed.
  7. Inappropriate conversation topics will not be allowed.
  8. Students must listen to the bus driver for any other safety instructions.
  9. Students will be addressed by the band directors or chaperones before leaving the buses in order to receive instructions concerning where to go, what to bring, what to do, what to wear, and /or when to return to the buses. Students must listen carefully to these instructions.
  10. Students must respect the adult volunteers who are helping with the band activities.
  11. Students not returning on the bus from any band event ARE REQUIRED to bring a permission slip from a parent with the following information: (1) Name and date of the event from which the student is leaving, (2) Name of parent/guardian the student is leaving with, (3) Phone number where the parent can be reached if verification is needed, (4) Signature of the parent and (5) Arrangements made by the student to have their uniform and instrument unloaded and properly stored in the band room. This form MUST be given to a chaperone on that student’s bus when the child originally boards the bus to leave Bearden High.

Hospitality

This committee is very busy during the entire school year. The responsibilities begin during band camp where we help students stay hydrated during extremely hot days. This job of serving refreshments continues through all the football games, competitions, and possibly during after-school rehearsals during marching season. This group also plays a huge part in the band car wash where we feed all the students and parent volunteers. Lastly, we provide food and refreshments at band parties and some away games. If you have an hour to spare during band camp, a few hours at the car wash, or even 30 minutes at a ballgame, we really need you!

Uniform Committee

A vital part of the band involves keeping students looking great! The Uniform Committee does just that. Our success depends upon a large number of volunteers, helping in ways such as monitoring uniform distribution on Fridays and washing shirts after the games. The amount of time you volunteer is optional and will be rewarded with lots of fun while getting to know the students better. No prior experience needed!

Apparel & Fundraising Assistants

Several parents are needed who can assist in collecting monies turned in from the car wash. We will be collecting monies for one week, at the end of the school day and possibly one to two alternate collection dates depending on the consistency of collections during the collection period.

Fundraising is a very important activity for the band. We are always interested in ideas for fundraising and volunteers to participate in fundraising activities.

For a limited time, we will have hats, shirts, and jackets featuring our custom designed “Bearden Band” logo. We encourage you to reflect your pride and support in the Bearden Band program by purchasing and wearing this apparel to all the games and competitions. Information about BHS Band apparel will be distributed during the Band Camp parent meetings and will be posted on the home page.

It Takes More Than One Person to Make a Band!

It takes a group of dedicated students and even more dedicated parents to make a band program great!

The Bearden High School Band Boosters is an organization dedicated to the support and advancement of the Bearden Band program. With increasing numbers comes the obligation for new uniforms, music, and more instruments. These items are not funded by the Knox County School System.

As the parent/guardian of a Bearden band student, you have the unique opportunity of promoting a band program of which we can all be proud. We need every parent to become involved in the Bearden Band Boosters. Each parent/guardian of a band student is already a member. No membership fee is required. All that we ask is that you share with us your ideas and a little of your time and energy. Everyone has something to contribute and we need each and every one of you!
