BHS Band - The World's Greatest Free Car Wash

PURPOSE: To raise money for the Bearden High School Band.

The Twenty-first Annual World's Greatest Free Car Wash will be held Saturday, August 18, 2007 at the Office Depot parking lot, 7111 Kingston Pike. The car wash is "open to the public" at 9:00 AM and goes until 5:00 PM. (Saturday, August 25, 2007 is the scheduled rain date.)

Before the Car Wash: Identify your sponsors for the car wash. We usually wash at least 1,000 cars. A master sponsor sheet and sponsorship forms have been provided to help you keep track of the donations. An additional copy of the master sponsor sheet may be found on the Documents and Forms Page. Go ahead and collect the sponsorships (donations) before the car wash. We also need your help in advertising the car wash. Tell everyone you know to come get their car washed! Cars are washed free!

Collect all of your sponsorship money, carefully count the money, put it in the provided 6x9 envelope, fill out and seal the envelope, and turn in the envelope per the following schedule. The student’s name must be CLEARLY marked on the outside of the envelope. The envelopes can be dropped into a locked drop-box, which will be collected at the end of the day. Parent volunteers will perform envelope verification from 4:00 PM - 5:30 PM on each of the collection days. Receipts will be issued the following day. Any discrepancies between the student count and the volunteer count will result in a recount of money with the student. This will result in lost time to the program during the busiest season. There are two collection dates. One is before the Car Wash and one is after the Car Wash.

  • Friday, August 17 - Early deadline for Car Wash money turn-in
  • Friday, August 31 - Last day for Car Wash Money turn-in

The Day of the Car Wash: There will be three shifts: 9:00 AM -12 Noon, 12 Noon - 3:00 PM, and 3:00 PM - 6 PM. Both parents and students help with the car wash. Plan to get wet. Help us have a safe car wash by obeying the following rules:

  • Do not go into the street. Be aware of cars moving through the car wash area.
  • Shoes and proper attire must be worn at all times.
  • You will be out in the sun – wear waterproof sunscreen.
  • Please be courteous of other businesses around the car wash. Parking is very limited.

Car Wash Fundraising Goal: The fundraising goal is not an optional band fee. Each student has a minimum goal of $150. The car wash is the student's opportunity to raise these funds by taking the time to raise at least $150 or more through car wash sponsorships from friends and neighbors rather than having their parents pay all $150. The car wash is the primary fundraising event for the band and amounts collected over and above the $150 minimum goal will be considered a donation to the Bearden Band program.

The Bearden High School Band Boosters facilitate the World Record Free Car Wash to offer an opportunity for band members to raise money for the Bearden band program. To quote from the handbook, “It requires a tremendous amount of money to operate a successful band program. Band programs are not funded (except for instructor salaries and provision of facilities) by the county school system.”

What to Expect on Car Wash Saturday

Car Wash Saturday is the day we have all been awaiting. Expect to see old friends, make some new ones, eat "gourmet" hot dogs, and probably get wet! Shifts are:

7:00 AM - 9:00 AM Set-up Crew
9:00 AM - 12:00 PM First Car Wash Shift
12:00 PM - 3:00 PM Second Car Wash Shift
3:00 PM - 6:00 PM Third Car Wash Shift
4:00 PM - 6:00 PM Take Down Crew

6:00 AM Car wash truck loaded with all equipment and supplies arrives at Office Depot parking lot. Area is marked off with cones and pennants.
7:00 AM Car wash Set-up Crew arrives at Shoney’s (Walker Springs Road) to begin their P&P Meeting (that’s planning and pigging out!). NOTE: In the event of questionable weather, call the band office at 539-7816 for information regarding postponement.
8:00 AM Set-up Crew waddles to Office Depot and begins set-up. GSMC arrives and erects tents.
8:30 AM Administrative and food areas are set up. Color Guard begins organizing the signs and setting up for curbside advertising. NOTE: Students are not permitted to be in the street at any time.
8:45 AM First shift students and parent volunteers begin arriving. All food and drink items should be at the food tent by this time. Please remember all students and parent volunteers must sign in at the Administrative tent upon arrival and must sign out upon departure from the car wash site.
8:55 AM All hands on deck meeting to review conduct expectations and to assign and explain work areas. Work areas include parent greeters at entrance and exit, parent supervisors and student workers at wet down, wash, and rinse off stations as well as bucket fill station and curbside advertising.
9:00 AM The Annual “World Record” Free Car Wash is OPEN for business!!!
12:00 PM Shift change.
3:00 PM Shift change.
4:00 PM Take Down Crew arrives and begins clean up.
5:00 PM Car wash closes. Administrative and food tents shut down and pack up. Take Down Crew disassembles, cleans up, and loads equipment truck. Parking lot is hosed off. All trash is bagged and put next to truck for disposal. We absolutely, positively leave nothing on site or in Office Depot’s dumpster. We are their guests for the day only.
6:00 PM Car wash truck and Take Down Crew go to the BHS Band Room to unload equipment and dump trash.

SAFETY FIRST! The parking lot is wet and slippery - NO RUNNING. Shoes and proper attire must be worn at all times. Our goal is 1,000+ cars washed with NO injuries or property damage.
